OmotenashiBoard is a tablet-based unmanned reception system for the CareLife Connect headquarters, a provider of home care across 6,000+ locations nationwide. It unifies a reception terminal where visitors call up departments and staff themselves with the public website and inquiry flow.
Unmanned reception, reaching the right contact, operational updatability, and a unified first touchpoint - the story of launching a new platform, built in-house from scratch in four months, that satisfies all four axes a large-HQ reception demands at once.
CareLife Connect is a comprehensive home-care provider covering home-visit care, home-visit nursing, day services, serviced housing for the elderly, and welfare equipment. It runs community-rooted services across 6,000+ locations nationwide.
The HQ brings together 11 departments - corporate planning, HR, accounting, the business divisions, information systems and more - and receives many visitors every day. Digitizing the 'first touchpoint' that smoothly guides visitors to the right contact was the theme of this project.
None of these are technology-selection issues - they are business requirements tied directly to staff reduction, visitor experience, operational load, and brand experience. A greenfield build required a design that 'satisfies them all at once.'
If handoffs depend on staffed reception, labor cost and handoff load become chronic. A flow visitors complete on their own is needed.
If visitors don't know the right department or contact, wait times and run-arounds arise. A flow that guides them straight there is needed.
If every reorg requires code changes, update lead time grows and information goes stale. A mechanism the field can update itself is needed.
If the website and reception are disconnected, the pre- and post-visit experience becomes inconsistent. The first touchpoint must be designed as one.
