Paper haulage reports and Excel cost management — A mobile-first haulage platform.

Minato Transport Service Co., Ltd. hauls construction spoil and industrial waste. With around a hundred vehicles and dozens of projects, it kept field haulage reports on paper and project costs and vehicle utilisation in Excel. HaulPilot is their own operations and cost platform, carrying everything from a driver’s mobile report through project cost, utilisation, depreciation, expenses, payroll and revenue.

This project took that scattered work and made it The story of launching a new platform, built in-house from scratch in about 9 months. Rather than migrating an existing system, the work itself was redesigned, giving the field and the back office one set of data to run on.

About the client

Minato Transport Service Co., Ltd. is a haulage operator whose main business is carrying construction spoil and collecting and transporting industrial waste. It runs dump trucks, heavy machinery and rented vehicles across many construction sites and disposal grounds, where each day’s haulage decides whether a project pays.

02 CHALLENGE

The design problems to solve

The work got done, but the data was fragmented — before the launch, Minato Transport Service faced four structural problems.

Retyping paper reports twice over

Paper reports written in the field were retyped into Excel at the office.Digitise the reports and , the double work of retyping and tallying disappears.

Vehicle spreadsheets scattered

Utilisation, fuel and depreciation sat scattered in a spreadsheet per vehicle.Manage it in one place and , utilisation and depreciation status are known at once.

Project cost unknown until the close

Project cost stayed invisible until the monthly close, so loss-making projects were found late.Aggregate daily and , profitability can be judged while the job runs.

Cost of sales understood too late

Revenue and cost were managed apart, so gross profit could only be known after the fact.Handle it on one platform and , management decisions become real time.

03 ARCHITECTURE

The architecture we built together

Starting from the mobile report in the field, the business API, the costing engine and the dashboards were built on a single data model. The domain was split into four areas, with Amela alongside from design through implementation.
