GaiWork is a unified HR and labour platform for employers running technical interns, specified skilled workers and other foreign staff across multiple sites, managing several hundred people and their residence statuses on one screen.
Residence expiry management, site-specific payroll, staff lifecycle and multilingual support — a platform meeting all four axes of employing foreign staff, built in-house from scratch in 6 months. This is the story of that launch.
GlobalStaff Japan Co., Ltd. employs and assigns foreign staff — technical interns, specified skilled workers and others — across multiple centres and plants nationwide. With several hundred people on the books, it manages the whole lifecycle from application and interview through employment to leaving.
Employing foreign staff brings its own difficulties: strict management of residence status and expiry, work and pay rules that differ by site, and consideration for staff whose first language is not Japanese. GaiWork was built in-house from scratch to carry all of it on one platform.
None of these were questions of technology choice; they were business requirements tied directly to compliance, HR workload and site operations. Building from scratch demanded a design that satisfies all of them at once.
Residence status management, payroll, staff lifecycle and multilingual/permission control — all four built in-house from scratch together with GlobalStaff Japan Co., Ltd. Each area stands on its own yet comes together in one console.

This foundation continuously produces business outcomes — compliance, lower HR workload and more efficient site operations — rather than technical metrics.
